Description:
Order Management Coordinator will manage and support all sales administration functions for the assigned regions, including (but not limited to) the following:
1. To administer sales and orders process function.
- Handle all new orders, order amendments, cancellations and reductions/reinstatements from receipt to fulfillment
- Able to liaise with customers directly, if needed, to help resolve sales/order issues
- Maintain daily orders stats report
- Maintain customer files for all orders and contracts
- Ensure all relevant documents are available and up to date on KB database
- Administer the license keys for relevant products
2. Support Sales and Marketing teams to prepare quotes and contracts
- Use Onyx CRM application to prepare order forms
- Provide Onyx training to sales associates and act as point of contact for Onyx issues
- Assist sales teams with Onyx queries
- Understand complex pricing, discounting programs, partner programs, currency rates, int’l factors
- Understand how various customer situations and requirements impact type of contracts and documents required for a transaction
3. Responsible for data integrity and content of internal sales systems (Onyx).
- Ensure data captured in Onyx is accurate, complete and timely
- Monthly/Quarterly reconciliation of Onyx data to excel data
4. Understand Revenue Recognition Principles under US GAAP rules
- Understand the documents/legal/language requirements for orders to become valid bookings
- Prepare contract summaries for each order
- Ability to work closely with finance/accounting teams to manage revenue
5. Commissions
- Understand complex compensation plans and commissions/bookings rules
- Calculate commissions and bookings credit for assigned sales team on monthly basis
- Determine commissions accrual and reconciliation on monthly basis
- Prepare quarterly rankings report
- Work closely with Finance to ensure accuracy of monthly reports
6. Other
- Adhoc analysis reports for management as required
- Be resourceful on assisting or directing others to information for problem resolution
Education/Experience:
- Associates Degree/Bachelors Degree required
- Contract experience required
- MS Office Suite experience required, with advanced skills in Outlook, Word, and Excel
- CRM/Onyx, sales process and complex order processing skills strongly desired
- Sales Administration and Finance background is a plus
- Excellent interpersonal, oral, and written communication skills
- Strong problem solving, decision-making, analytical, and organizational skills
- Ability and desire to master new concepts, techniques, and tools quickly
